Managing your Case studies

Manage case study analytics, submissions, recipients, and settings after you create one.

After you create a case study, open it from the list to manage analytics, submissions, recipients, and settings. Preview the survey or copy the share link at any time.


The management view

Click a case study in the list to open its management view. Two buttons stay available at the top right:

  • Preview — opens a live preview of the survey as respondents will see it

  • Copy share link — copies the direct survey URL so you can share it by email, Slack, or anywhere else

Four tabs control the case study.


Analytics

Shows real-time performance once responses start arriving. Four headline metrics appear at the top.

Per-question response rate

A bar chart of the percentage of submissions that answered each question, plus the average answer length per question. Use this to find questions that are skipped or take unusually long — both are signals to rewrite or simplify.

Status breakdown

A donut chart with counts and percentages across the three states.

Answer format

Shows the split between voice and text answers, and the average answer length in words across all submissions.

Invitation funnel

Shows invited, clicked the link, incomplete (In progress), and submitted.

Note: Until responses arrive, Analytics shows: No data yet. Once recipients start responding, analytics will appear here.


Submissions

Shows every individual submission. Use the filter tabs at the top to view by status.

Click a submission to open the full transcript — every question and its answer. Voice answers appear as transcribed text next to the original recording.

Note: Testimonial opt-in responses appear in your Space inbox automatically, linked to this case study so you know which customer story they came from.


Recipients

Manage who receives the case study invitation email. Two ways to add recipients:

  • + Add recipient — add by name and email. The invitation email is sent immediately.

  • Import from testimonials — pull in contacts from customers who already submitted a testimonial in this Space.

Each recipient card shows the current status — Invited, In progress, or Submitted — and a View response link after they submit. You can remove a recipient with the trash icon.

Importing from testimonials is the fastest way to build a first recipient list. Customers who already submitted a testimonial already have a relationship with your product.

Note: Plans below Ultimate+ include 1 free customer invitation for the whole account. After it is used, the account owner sees: "You've used the free case study invitation included in your plan. Upgrade to Ultimate+ for unlimited invitations." Public respondents never see an upsell. They see "This case study is no longer accepting new responses." or "No longer available."


Settings

Edit the case study after it is created — the same fields as the creation form:

  • Name

  • Questions — edit, reorder, or add questions

  • Layout — switch between one-at-a-time and all-on-one-page

  • Testimonial collection — turn on or off and edit the request message

  • Invitation email — update subject, body, and CTA button color

  • Reminders — enable or disable automatic follow-ups

Click Save to apply changes. Updates to email templates also apply to the email that has been sent.
